Every requirement worked.
Every submission accounted for.

Xcelo ATS is where vendor requirements land, recruiters get assigned, candidates are matched against the job description, and profiles go out to vendors — with a record of who did what, and when.

The workflow

From vendor email to submitted profile

The same four steps every requirement goes through, so nothing sits unworked.

  1. 01

    Capture the requirement

Paste the vendor's email or drop in a screenshot — the req ID, client, rate, work authorization and tax terms are read out automatically for you to confirm.

  2. 02

    Assign and start the clock

Assign recruiters and a 24-hour countdown begins. Anything with no submission when it expires is flagged to admins in-app and by email.

  3. 03

    Match the candidate

Upload a resume and it is read end to end, then scored against the job description requirement by requirement — with the evidence quoted from the resume.

  4. 04

    Submit to the vendor

A formatted submission goes to the vendor with rates, work authorization and the original JD, copying the admin team and logging every send.

Built for US IT staffing

The fields the work actually needs

Not a generic CRM bent into shape — C2C and W2, visa status, layers and margins are first-class.

Vendors & requirements

Prime vendors, implementation partners and end clients, each req carrying its vendor ID, submission deadline and cap on submittals.

Work authorization

USC, GC, H1B, OPT-EAD and the rest — including which the client accepts, so nobody is submitted against a req that will reject them.

Rates and margin

Pay rate, bill rate and the margin between them calculated automatically, with tax term and rate confirmation recorded on every submission.

AI match scoring

Reads the whole resume and works through the JD requirement by requirement, showing what is met, what is partial and what is missing.

Resume versions

Every resume kept with its upload date. Tailor a copy for a specific req and the original stays untouched and restorable.

Duplicate protection

Candidates matched on email and phone before anything is created, so the same person never enters the database twice.

Oversight

Know what was worked — and what wasn't

Reports break the period down by recruiter: submissions made, profiles emailed, interviews, placements and average match quality. Alongside them, the three lists that matter most.

  • Missed — assigned over 24 hours ago with nothing submitted, and by whom.
  • In the window — assigned and still counting down.
  • Unassigned — open requirements nobody is working.

Filter by last 24 hours, today, 7 days, this month, 30 days or a custom range — then narrow to a single recruiter.
